Step 2: Create a New Project Template for Workflow Process (Child Template)

Note: Copy Manager is an enterprise feature available exclusively to users on the Enterprise plan. For more information on all ManageArtworks plans, click here.
Note: If you want to create child template without any copy tasks, follow the standard instructions in Create New Project Template, and proceed to Step 3: Link Workflow (Child) Template with Content Collection (Parent) Template.

To Create the Child Workflow Template:

Note: This example demonstrates the creation of a workflow process template with a Copy Review task.
  1. Navigate to the Admin module.
  2. Click the Create New Project Template tab.
  3. Select the desired Approval Flow.
    Note: Make sure that the Copy option is selected, as this workflow will include a copy task.
  4. Configure the Form Template as needed. 
  5. After completing the form configuration, click Next to proceed to the Workflow Template setup.
  6. Configure the Workflow Template as required. 
  7. Add a Copy Review task at the appropriate point in the workflow to allow for last-minute changes to approved content.
  8. To add a Copy Review task:
    1. Click Add a Task, then select Decision Task.
      Note: Only Decision Tasks can be set as Copy Review tasks.
    2. You will see four configuration tabs:
      • Task Information
      • Validation
      • Instructions
      • Copy
    3. Configure the first three tabs using the Configure a Decision Task guide.
    4. Go to the Copy tab:
      1. Toggle Copy Task to Yes.
      2. From the Copy Task Type dropdown, select Copy Review.
        Note: Only Decision Tasks can be set as Copy Review task.
      3. The Copy Review task allows participants to approve, reject, or modify the approved content or specific elements.
      4. Additional Configuration Options in the Copy Tab
        Note: Depending on the copy task type that you have selected, the below configuration will be limited to select.
        1. Allow Participant Edit: Lets participants reassign users or adjust elements during runtime.
        2. Allow Admin (Add/Delete/Edit Elements): Allows users from the Start activity to modify elements at runtime.
        3. Any One Can Approve: If enabled, any participant can complete the task. If disabled, all participants must approve for the task to proceed.
    5. After configuring the task, click Save to add it to the workflow.


       
  9. If you want to include a task where users can view copy content but not make changes, add a task and set its Copy Task Type to Only View.

  11. Once you have configured the workflow template as needed, click Next to Publish the template.
  12. Once you've built and configured your workflow and form template, double-check everything before publishing. If needed, use the Back button to make further adjustments to the workflow or form fields.
  13. Click "Publish" to make your template available for creating new projects.
